Most dictation systems utilize standard voice formats such as .wav files which are easily opened and replayed with virtually any media software. Older dictation systems rarely protect data via encryption, allowing dictation data to be easily breached. Fusion Voice® encrypts all audio and data files while in-transit and while stored on workstations with industry standard, private key encryption.
Digital vs. analog phone lines
Most dictation is still done over standard telephones and standard, analog (POTS) phone line service making eavesdropping very simple for anyone with just a little knowledge of electric circuits and a tape recorder. Fusion Voice makes available T1/PRI digital circuits as well as packet-secured VoIP which are not subject to the same, simple methods of hacking.
Audit logs, access and disclosure
Dictation systems easily report on when a dictation was completed by an author or transcribed in transcription. Fusion Voice provides extensive levels of auditing for dictations and users of the system. Audit trails are linked to who accessed a dictation, who modified a dictation, and what changes were made. Audit reports are easily generated for any user or job on the system.
Who has your number
Many facilities have published their digital dictation system telephone numbers and, out of convenience to medical staff, these numbers rarely change. Dictation system manuals containing keypad commands are easily obtained through a quick internet search and provide a back-door into your dictation system.
Fusion Voice software is designed on the “least access principal”. Custom security and configuration groups allow data access only to users that need it. You can even control how complex passwords have to be based on your standard security requirements.
